Project Accountant (Madison, WI.)

Job Summary: The Project Accountant is responsible for ensuring the accuracy, completeness, and timely reporting of project financials. This role involves tracking project expenses, managing billings, change orders, and subcontracts, as well as providing support to project managers for financial management and reporting. The Project Accountant works closely with project teams to ensure compliance with contract terms and assists with revenue forecasts, project cost tracking, and project close-out activities. This position requires diligent communication with customers, vendors, and internal teams, ensuring exceptional service and accurate financial data management.

Key Responsibilities:

  1. Understand and uphold company policies, as well as maintain competency in the procedures, work instructions, and other documentation required for safely, effectively, and correctly performing the duties specified below
  2. Financial Management:
    • Monitor, track, and analyze job costs.
    • Manage change orders and subcontracts.
  • Margin analysis
  • Prepare, process, and follow up on billings
    1. Fixed price billings – Prepare billings for fixed price contracts at the direction of the project manager
    2. Time and material (T&M) billings – Prepare billings for T&M contracts at the direction of the project manager and in compliance with the contract. Confirm that all costs associated with the project have been properly accounted for and ensure accuracy of billing rates and mark-ups.
    3. Assure that billings are prepared in accordance with any special requests of our customers
    4. Prepare all supplemental forms required to be submitted with billings on contracts
  • Set up contract jobs and service jobs in the accounting software
  • Enter costs related to inventory transactions and equipment transactions
  • Confirm projects meet all requirements to be closed and complete the close out process
  • Transfer costs as needed to / from contract jobs and service jobs
  • Assist with requests for proposals including bid forms
  • Provide backup for co-workers as required
  • Assist with other regular and periodic accounting needs of the company
  • Other duties as assigned
  • Analyze and prepare certified payroll and prevailing wage reports
  • Assist with the timely collection of project billings
  • Generate standard and ad-hoc job cost reports to support the project management team
  • Assist in reconciling selected general ledger and job cost accounts.
  1. Customer-Oriented Communication:
  • Respond to customer requests for account information
  • Provide professional communication and exceptional customer service to customers and vendors and co-workers
  • Responsible for direct communication regarding assigned projects
  • Act as a resource to internal customers with financial and accounting related project data

 

Qualifications & Experience:

  • Bachelor’s degree in accounting or equivalent experience
  • 5-7 years of professional accounting experience, preferably within the construction industry
  • Experience with Vista by Viewpoint software is a plus
  • Strong analytical, problem-solving, and organizational skills
  • Accounting skills and experience, construction industry preferred
  • Excellent attention to detail and communication skills (written, verbal, and interpersonal)
  • Proficiency in Microsoft Office
  • Excellent analytical and problems-solving skills
  • Demonstrated understanding of Generally Accepted Accounting Practices (GAAP)
  • Ability to work in a fast-paced environment with minimal supervision
  • Ability to handle sensitive and confidential information
  • Strong work ethic with excellent multitasking capabilities and the ability to collaborate in a team-oriented environment
